AcuWeb™Contacts

 Take a few minutes to get acquainted with the features of Acuweb™Contacts -- one of ten browser-based apps in our fifth generation suite of tools that make it easier than ever for you to effectively collect, manage, and utilize contact information via your website, without the need for any prior web-tech knowledge.

Contacts manages information about people -- whether that's information being collected by forms on your website, or information you've loaded, such as membership or customer lists, which you may want to allow these constituents to access or edit, or which you may want to use for outbound communications, such as e-newsletters or group notifications.

Any time you select an Acuweb 'app' , the options for that app will appear in the blue sub-nav bar immediately below the main navigation.  This method of navigating among your Acuweb apps is consistent across all of your site's tools.
Let's look briefly at the options you'll see here,  which begins with a list-view display of all people in your Contacts database,  along with a button at the top that gives you the option of creating a new contact record.
You can quickly search this listing, narrowing your search results by using either the keyword search or advanced search tools you'll find at the top of the list.

The filtered list displays all contact records matching your search criteria, and displays the criteria at the top of your search results list.

Now, let's see what's inside a contact record, by clicking on the 'edit' button . . .

Personal Information

The first panel item on the 'edit' screen is personal information, containing essential contact data for each individual.  Whether you collect all or only some of this data is entirely up to you, but Acuweb™Contacts is fully capable of maintaining a complete set of information, should you need it…

Contacts also allows you to manage constituent access to specific pages of your site, as in the case of a website for an organization, where you might want to allow members to sign in and update their own member information.  The access manager add-on will also allow you to manage start and end dates for member log-ins, as in a situation where you are offering time-specific access, such as a paid subscription, to certain content on your site. When the login date expires, they're not only locked out of their profile (for the purposes of updating their info, changing passwords, etc.) -- but also disappear from any public list-views.

Below the personal information panel, you'll find eight additional panels, each of which stores specific kinds of information relating to your sites' contact management capabilities .


Company Information

Company information allows you to store data about each person's professional affiliation; with the addition of Acuweb profile, this information can be used to generate online staff biographies, useful in professional services organizations, where staff qualifications are an essential part of marketing the organization's services.


Profile Information

The section titled profile information allows you to establish and assign areas of expertise to individuals in your Contacts database.  These could be areas of legal practice (as showin in this example), committee assignments for a large volunteer organization, or any other type of grouping with which you want to affiliate your contacts.

Contacts has the depth and versatility to record and organize a great deal of experiential information -- all managed via a series of easy-to-use screens.

Contacts also allows you to associate professional certifications and logos with each individual, such as association memberships, awards and recognitions.

An image, typically each person's portrait, can also be uploaded and associated with that individual's record.  You have the option of displaying this image with staff or membership listings, or not.

Custom Fields

Acuweb™Contacts also lets you easily add and manage custom fields, which you can set up to meet the unique data collection and data management needs of your organization.

Contact Groups

Individuals can also be assigned to contact groups for purposes of setting up group mailings and other organizational needs.  You can create as many contact groups as you like, and associate each individual any number of these groups, as you'll see in a moment. Mail

Contact groups can be an effective way to organize the individuals in your Contacts database.  The contact groups tab on the blue navigation bar allows you to view, edit and manage your contact groups.  Clicking the 'mail' button provides a quick method for emailing all contacts in a given group.

In the mailer control panel, you have the opportunity to build a library of saved messages, which can be recalled, edited, and used again.

Here, under the "Compose Email" panel, you can choose which groups or individuals you wish to mail. One group, multiple groups and/or individual addresses can be emailed.  As with regular email, you can also specify cc and bcc recipients.

Set-up is easy . . . Very similar to sending a regular email.

You can specify both a working title (how the message will appear on your list of saved messages) and a subject line (which will appear in the in-box of each of your recipients).

Export

Back on the Contacts navigation bar, from the export tab, you can export any of your contacts data in standard spreadsheet format, for use offline.  The export preset panel gives you several pre-formatted output options, such as name tag, mailing label, and v-card formats . . .

. . . Or, you can use fileds to export panel to customize your data output, with the ability to select the specific data fields you wish to include in your export file.

Import

The blue import tab on the navigation bar allows you to download a pre-formatted spreadsheet template into which you can put existing contact data that you'd like to import into the Acuweb™Contacts system.

The final panel in the import process allows you to define what contact group or groups to which you'd like to assign the incoming contacts.
